A Chicago convention shuttle plan needs more than a headcount and a hotel address. When attendees stay at several hotels or leave sessions at different times, the useful planning document is a passenger manifest organized by departure: who rides, where they board, and which confirmed trip brings them back.

Start with a list of trips, not one list of attendees

For each row, record the service date, origin, exact meeting point, destination entrance, required arrival time, passenger count and organizer. Keep airport arrivals separate from hotel-to-venue departures because baggage collection and flight changes introduce different timing decisions.

Assign a departure code to every run

Simple labels such as A1, B1 and R1 help passengers distinguish trips. Avoid relying only on a bus color or the driver’s name, which may change before the event. Pair each code with a date and departure time, and use the same labels in the coordinator’s manifest and guest instructions.

In this example, 42 outbound riders do not automatically mean one 42-seat vehicle will work. The two hotel groups may need simultaneous departures. Nor should the 12 dinner guests be counted on the earlier return run. Vehicle selection follows the completed schedule.

Build a practical passenger manifest

A spreadsheet can work well when one coordinator owns the current version. Include only information needed to manage the ride. The working list can contain:

  • Passenger name and assigned departure code.
  • Hotel or approved pickup point.
  • Outbound and return selections, recorded separately.
  • Luggage or equipment count when relevant.
  • Boarding assistance requirements communicated privately to the coordinator.
  • Check-in status and any approved reassignment.

Collect a usable contact method for trip updates, but avoid distributing everyone’s phone numbers to the entire group. Send each rider their own instructions or a group schedule without the full private roster. Give the operating team the information needed for service through the agreed contact channel.

Separate boarding time from departure time

“Meet at 8” is ambiguous: passengers may interpret it as the time to leave their rooms. Guest instructions should distinguish the time to be at the meeting point from the confirmed vehicle departure. Work backward from the required arrival with your transportation coordinator, allowing for boarding, road conditions and the walk from drop-off to the session.

Ask each hotel where passengers can gather and where the vehicle may load. A lobby meeting point and a curbside boarding point may be different. Confirm whether a vehicle can wait or must approach only when the group is ready. At the convention venue, verify the building and authorized entrance with the event organizer; a general street address is not a complete boarding plan.

Match each run to seating, bags and accessibility needs

For larger departures, discuss charter bus service. Smaller groups may suit a Sprinter option, subject to the confirmed seating layout and trip requirements. Ask about accessibility before assigning a passenger to a vehicle. Do not assume a standard coach or Sprinter is wheelchair accessible. Required equipment, boarding arrangements and suitable vehicle availability must be confirmed in advance. Wi-Fi, outlets, restrooms and other amenities also require confirmation.

Decide how late arrivals and changes will be handled

Choose one lead organizer and one backup who can authorize trip changes. Agree with the provider on the process for a missing passenger, a changed return time or an extra stop. A driver should not have to reconcile conflicting requests from several attendees.

For a late passenger, the coordinator should check the roster, contact the person and follow the agreed departure policy. Do not promise that a vehicle will wait indefinitely or that an extra trip is included. Changes may affect later runs, operating limits and price. Confirm availability and any additional charges before offering a revised plan to guests.

Send one clear final message to riders

Use this structure for each departure: Your run is [code] on [date]. Meet at [specific location] by [boarding time]. The vehicle departs at [confirmed time] for [venue entrance]. Your return run is [code and time]. Contact [organizer] if your plans change.

Add a map pin or location photo only after the pickup point is confirmed. Put a revision date on the schedule, and send an explicit change notice if the meeting point or time changes. Avoid leaving guests to compare several contradictory messages.
