The final morning of a Chicago conference creates a transportation problem that an ordinary hotel shuttle does not solve: attendees must check out, attend sessions and reach their next destination with their bags. A seat on the morning shuttle does not establish where a suitcase will stay or how it will reach the airport later.

Use this checklist to plan the luggage movement alongside the passenger movement. It builds on our convention shuttle passenger manifest, with a specific focus on checkout day. Hotel storage, venue bag acceptance and vehicle storage must each be confirmed with the responsible team.

Choose where the bags will stay during sessions

Start with three possible arrangements and ask which are actually available for your date. Do this before promising attendees that they can leave luggage on the bus.

  • Leave bags at the hotel: Ask the hotel about storage availability, collection procedures, charges and collection hours. The afternoon itinerary must include enough time to return, retrieve bags and reload.
  • Bring bags to the venue: Ask the event organizer whether the event accepts suitcases and whether storage is provided. A coat check or registration desk should not be assumed to handle a group’s luggage.
  • Keep bags with an assigned vehicle: Ask the transportation provider whether this arrangement is available, where the vehicle will be between trips, who can access the bags and what charges or restrictions apply. Separate morning and afternoon transfers do not imply continuous vehicle availability.

For a group staying in Westmont, Hinsdale, Oak Brook or Naperville and attending sessions in Chicago, collecting bags from the hotel later may add a substantial extra movement. Compare that complete itinerary with an approved alternative; do not compare only the morning ride prices.

Count bags by departure group

Request the number of large suitcases, smaller bags and unusual items for each traveler. For exhibit cases or other bulky items, provide dimensions and ask the operating team to confirm suitability. A general answer such as “everyone has luggage” is not enough to assess storage.

Passenger capacity is not luggage capacity. The same group that fits comfortably on a hotel shuttle with laptop bags may need a different arrangement after checkout. Review vehicle options with the reservations team, then confirm the assigned vehicle’s seating and storage together. Keep items travelers need during the day with them. Ask attendees to retain identification, travel documents and essential personal items rather than putting everything into a storage area they may not be able to access between stops.

Separate airport groups from hotel returns

On checkout day, the people who rode together in the morning may no longer share a destination. Record each person’s afternoon plan separately: airport, hotel, office or another approved stop. Confirm the airport and terminal details with the traveler rather than copying an assumption from the morning roster.

For example, a hypothetical group of 30 could split into 18 airport passengers, eight hotel-return passengers and four people making independent arrangements. That is a planning example, not a recommended vehicle allocation. The eight hotel-return riders must not accidentally leave with the 18 airport travelers, and the four independent travelers still need a clear luggage collection plan.

For larger movements, discuss charter bus service. Ask whether separate departures or vehicles make sense when destinations and required arrival times differ. Do not assume one additional airport stop can be inserted without affecting the other passengers.

Work backward from the required airport arrival

Have travelers confirm their airline’s recommended airport arrival time for their particular flights. Then review the ground itinerary with the transportation coordinator. Allow for leaving the session, reaching the meeting point, retrieving stored bags, matching bags to riders, loading and the drive.

Keep the session end time separate from the vehicle departure time. A session scheduled to finish at the pickup time leaves no room for walking or baggage collection. If the conference runs late, the organizer needs an agreed decision process: leave the session on time, seek an approved change or use a separately arranged alternative. A later departure is not automatically available.

Give one person responsibility for baggage reconciliation

Nominate a group coordinator to compare the passenger list with the luggage plan before each departure. Use simple bag identifiers that travelers can recognize without displaying a full private roster. Ask each passenger to verify their own bags at collection and loading.

When multiple vehicles are used, agree how bags will be assigned to the correct vehicle. Tell the operating team which group leaves first so loading can be planned appropriately. Confirm handling responsibilities in advance; do not assume the driver can leave the vehicle to collect bags from rooms or an indoor storage desk.

If someone leaves independently or changes flights, update both lists. A passenger reassignment is incomplete until their bags have an agreed destination too.

Send a checkout-day message before the final morning

Give attendees a concise message with five details: when to check out, where to leave or bring bags, the session departure plan, their assigned afternoon ride and the coordinator’s contact. Add the version date so an old message is easy to identify.

Use wording such as: “After checkout, follow the confirmed luggage instructions below. Your afternoon departure is [run code]. Meet at [approved point] by [time], with your bags collected as instructed. Contact [coordinator] before changing your ride.” Replace every placeholder with confirmed details before distributing it.
