Planning a Chicago party bus trip starts with six details: your date, passenger count, pickup addresses, stops, return time and budget. Use this checklist to organize those details before requesting a quote, whether your group is leaving from Hinsdale, Oak Brook, Westmont or downtown Chicago.

1. Confirm your passenger count and vehicle
Count every person who will ride, including hosts, photographers, chaperones and wedding-party members. Tell reservations about bags, coolers, formalwear and event supplies. Passenger capacity is not the same as luggage capacity, so confirm storage and seating for your actual group rather than assuming everything will fit.
- 22-passenger party bus: an option for groups of up to 22 passengers.
- 38-passenger party bus: an option for groups of up to 38 passengers.
- Smaller or different trip: ask whether a 6-passenger SUV or 14-passenger Mercedes Sprinter better suits the itinerary. Motor coaches are also available for larger group transportation.
Rock Limo’s 22- and 38-passenger party buses each have two TVs, a sound system and two bars. Confirm the assigned vehicle and its amenities in writing, especially if an affiliate will operate your reservation. A bar setup does not mean beverages are included or that every beverage is permitted.
Ask for current photographs of the vehicle being offered. Do not assume an illustration or a general fleet image depicts the exact vehicle reserved for your group.
2. Write down each pickup, stop and return
Prepare a simple itinerary before you request a quote or book online. Include:
- Trip date and the number of passengers.
- Exact pickup address and the time everyone needs to be ready.
- Every planned stop, with an address and approximate time there.
- Any photo stops, dinner reservations or additional pickups.
- Event start and end times, plus the planned return pickup.
- Final drop-off address and any separate return stops.
A route from the western suburbs to downtown may need additional time during rush hour or around major events. Tell the reservations team about time-sensitive arrivals and build an appropriate buffer into the plan. Transportation does not eliminate congestion or guarantee unrestricted venue access.
If you expect to add stops, mention that before accepting a quote. Route changes, extra time and additional mileage may affect the total.
3. Confirm event pickup arrangements
For concerts, games, weddings and private events, share any venue loading instructions in advance. Ask where the group should meet after the event and who will communicate with the chauffeur. Venue rules and traffic controls can change the practical pickup point.
For a Soldier Field outing or another large Chicago event, do not assume the vehicle has VIP access, reserved parking or a guaranteed quick exit. Confirm the permitted pickup and drop-off arrangements for your event before service day.
Choose one trip leader to share instructions with guests, confirm the final headcount and coordinate changes with reservations. One contact helps avoid conflicting directions from several passengers.
4. Check the three-hour minimum and fee exclusions
Rock Limo’s hourly reservations have a three-hour minimum. Published base prices do not include gratuity, tolls, parking, taxes or other fees. Ask for an itemized written quote showing the total for your date, vehicle and itinerary.
The quote should identify:
- Vehicle category and confirmed passenger capacity.
- Service date, pickup time, itinerary and reserved duration.
- Base rate and the minimum billable time.
- Gratuity, tolls, parking, taxes and any other applicable fees.
- Overtime and extra waiting charges, including how time is rounded or billed.
- Any dispatch travel time or mileage charges that apply.
- Deposit, payment schedule and cancellation terms.
- Potential cleaning, damage or late-change charges and when they apply.
Ask whether billable time starts at your pickup or includes travel from the vehicle’s dispatch location. Do not assume a charge is included unless it appears in the written quote. A point-to-point transfer has a different trip structure; request a quote for the exact route rather than treating an hourly rate as a flat transfer price.
5. Confirm amenities and onboard policies
Describe the occasion and the ages of your passengers. A wedding party, family celebration, prom group and corporate outing may have different needs even when the passenger counts match.
Confirm music connections, TV use, food, beverages, glass containers, decorations and cleaning expectations before booking. Ask specifically about any feature that matters to your group. Amenities and policies for affiliate vehicles may differ from Rock Limo’s own party buses.
For youth events, discuss chaperones, the approved itinerary and pickup arrangements with reservations. Do not assume alcohol is permitted simply because the vehicle has bars.
6. Review the written confirmation
Rock Limo operates its own fleet and uses affiliate providers when appropriate for the reservation. Confirm who will operate your trip, the assigned vehicle category, capacity and agreed amenities before paying. Ask how you will be notified if the vehicle or operator changes.
Service and dispatch are available 24/7. Last-minute requests are welcome, but availability must be confirmed. Reserving ahead gives the team more time to match your group and itinerary to an available vehicle; it does not replace a written confirmation.
Before the trip, check that everyone has the correct pickup address and time. Reconfirm any changes to headcount, stops, luggage or event timing with reservations.
