The chauffeur may need a different meeting point, the vehicle may have another reservation afterward, and the travelers may still need to reach a meeting together. Confirm what changed before changing the car

A message saying “arriving at 3” is incomplete without a date, time zone and indication of whether that means landing or vehicle pickup.

If the flight switches facilities or airports, send the full revised address. Do not assume a saved map pin still applies. Ask for confirmation of the permitted meeting location, whether passengers should wait inside, and how they will identify the chauffeur. An aircraft-side pickup should never be assumed; the specific access arrangement must be confirmed.

Send one complete update and get acknowledgment

Use the contact method on your reservation confirmation. For an imminent pickup, call the listed reservations or dispatch contact and follow with the written details. An email sitting in an inbox is not confirmation that a vehicle has been reassigned.

Recheck seats and luggage when the group changes

A later arrival sometimes brings an extra traveler, equipment or additional bags. Report those changes before assuming the original vehicle will still work. Passenger capacity does not establish luggage capacity, and adding a seat does not create space for oversized cases or golf clubs.

Review the vehicle categories with the coordinator using actual passenger and baggage counts. Ask about the specific available vehicle, not just a category name.
