A wedding shuttle message should answer a guest’s next question before they have to call the couple: where do I stand, when does the bus leave, and how do I get back? For a Chicago or western-suburbs wedding, a hotel name alone may not identify the right entrance. A reception end time is not necessarily the final shuttle departure, either.
Use the templates below after your transportation coordinator confirms the itinerary. Replace every bracketed field with your own details, delete anything that does not apply, and send each guest only the route they should use. These are communication examples, not a confirmed transportation schedule.
Confirm the route before writing the announcement
Start with your final hotel list, shuttle passenger counts, approved loading points and arrival deadline. Check outbound and return seats separately: a guest riding to the ceremony may leave with family afterward, while another may need only the hotel return. Agree on a boarding time and a departure time with your planner and transportation coordinator. Label both clearly. Do not copy the ceremony start time into the pickup field or assume the bus can wait for late arrivals. Confirm whether each departure serves one hotel or several, and which hotel receives each returning group.
Wedding website wording: explain who the shuttle serves
Your website can introduce the service before individual trip assignments are ready. State the hotels covered and how guests should request a seat. Avoid saying transportation is available from every hotel if you have only arranged one pickup location.

If you would like a ride, please tell [organizer] by [reply date] whether you need the outbound trip, the return trip, or both, and how many people will travel with you. Collect boarding or accessibility requirements privately through the organizer. Do not put guests’ medical details, personal phone numbers or a passenger roster on a public wedding page. Share only the information the transportation team needs to arrange the requested assistance.
Hotel pickup message: give guests one clear assignment
Send the final instructions once the route and loading entrance are confirmed. For two hotels, use two clearly labeled messages. A guest in Oak Brook should not have to decide whether a Westmont departure also applies to them. Include the street address and approved entrance; a map pin can support the directions but should not replace them.

Use local Chicago time consistently and say so when guests are traveling from other time zones. If a vehicle or route label will identify the correct bus, include the confirmed label. Do not promise a particular color or model based only on a photograph.
Return shuttle message: make the last departure unmistakable
Give the return pickup its own instructions, even if it seems obvious to the planner. The loading point after the reception may differ from the arrival entrance. If guests are assigned return seats, state their assigned trip rather than presenting every departure as open seating.

If you need a different departure, contact [organizer] before switching. If you miss your trip, call [day-of contact]; another shuttle trip is not automatically included.
Have the planner review the final departure against the booked service window. An after-party trip or an extra hotel drop-off needs its own confirmed arrangement. Guests should not ask the driver to add stops on behalf of the group.
A short reminder for the wedding day
A brief reminder is easier to read on a phone than the entire itinerary. Send it through the communication channel your guests have agreed to use. Give an offline alternative, such as a printed hotel welcome card, to guests who will not receive group messages.

Changing the plan: replace the old instructions clearly
Choose one organizer to approve updates with the transportation team. A guest message does not itself change the booking. Confirm any new time, stop, vehicle or service extension first, including applicable charges, then tell affected guests exactly what changed.

For guests on [route/group]: [specific change]. Please now meet at [confirmed location] at [boarding time] for the [departure time] departure. This replaces our earlier pickup instructions. [State whether the return plan changed.] Please reply to [contact] to confirm you received this update.
Update the wedding website and printed notices where practical. Ask hotel or venue contacts to remove outdated directions. If only one hotel is affected, target that group and keep the other guests’ instructions consistent.
